SUMMARY: 

Provide high-level administrative support tasks under the supervision of the Program Director.

220 Day Contract

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Function in a highly professional manner, maintain confidentiality while prioritizing workload to respond to routine and urgent requests of director and staff.

  2. Create and complete purchase orders, reconcile statements (receivables & payables) and run budget account reports using Pentamation.

  3. Review and process timesheets, reimbursements, and staff conference forms.

  4. Process and complete registrations, reservations and arrange out of district travel

  5. Manage all materials, equipment and supply purchases: pricing, ordering, invoicing, receiving, storing supplies, and monitoring inventory.

  6. Maintain and order department forms; develop and revise as requested by director.

  7. Review monthly reports for employee leave balances and communicate this information with staff and director

  8. Maintain and update employee schedules and contact information.

  9. Retrieve, deliver and send mail through UPS/courier

  10. Organize and maintain department records, data base systems

  11. Coordinate staff meetings and trainings: reserve room(s), send meeting invitations, print materials, arrange for food, create and manage IMESD online registration, etc.

  12. Develop working knowledge of all technology available to department: fax/scan/copy machine, postage machine, printers, projection technology, etc.

  13. Review and edit professional correspondence and documents created by director.

  14. Work with Human Resources and director for onboarding new employees.

  15. Perform other duties as assigned by the director.

EDUCATION / EXPERIENCE

High School diploma with a minimum of 3 years working as an administrative assistant in an educational or medical field.

SKILLS:

  1. Ability to work cooperatively and independently

  2. Strong interpersonal, written and verbal communication skills.

  3. Strong computer skills: Microsoft Office Suite (Excel, Word, Access, Outlook & PowerPoint)

  4. Excellent organizational skills with attention to detail.

Ability to focus, organize and prioritize.

TRAVEL REQUIREMENTS:

Administrative Assistant may be required to travel on overnight assignments.
